2008 EXHIBITION GENERAL RULES
60th Annual Meeting

September 19 - 22, 2008


Booth Furnishings & Arrangements
Color background, side rails, flameproof drapes (green & white) and a one-line sign are included in the basic booth space fee. All booth backgrounds are eight feet in height with 36-inch-high side rails. Exhibitors may occupy the entire cubic content of their booth(s).

All furnishings, except background and side rails, will be provided by the Exhibitor at his or her own expense and responsibility. An Exhibitor's Service Kit, will be available online through PEDCO.

Exhibits whose design, operations, content or otherwise are objectionable in the judgment of exhibit management will be prohibited. Crossing aisles with any type of banner, header, etc., is prohibited.

Booth Furniture & Electric Power
All decorating and exhibit furniture will be handled on requisition through the official exhibit contractor, PEDCO. A schedule of prices will be included in the Exhibitor's Service Kit that will be available online through PEDCO.

Orders for special lighting, wiring, water, gas, telephone or other special work must be placed with the exhibit contractor 30 days in advance of the exposition. Special forms, rates or other basis of charges will be sent in advance of show time. Electricity will be contracted through the hotel.

Installation & Dismantling of Exhibits
Exhibitors may have access to booths at 8:00 a.m. on Friday, September 19, 2008. Installation of exhibits MUST be completed by 2:00 p.m. that day. No display may be dismantled nor packing started until 8:00 p.m. on Saturday, September 20. Exhibitors must be out of the exhibit hall no later than 12:00 midnight on Saturday, September 20.

Official Exhibit Hours
Friday, September 19 3:30 p.m. - 7:30 p.m.
Saturday, September 20 4:30 p.m. - 8:00 p.m.


Shipping Restrictions
All questions regarding materials delivery to the show floor must be directed to PEDCO at 503.417.8000. Due to extremely limited space, NO EXHIBIT MATERIALS can be shipped directly to the hotel. You will incur significant fees if you ship packages directly to the hotel. The GWA assumes no liability for any material shipped to the hotel or the exhibit decorator.

General Restrictions
  1. Exhibitors are prohibited from using amplifying equipment that is objectionable.
  2. Exhibitors must confine their activities to the space for which they have contracted.
  3. Exhibitors will not be permitted to use strolling entertainment nor to distribute samples or souvenirs except from their own booths.

The GWA reserves the right to cancel contracts of any exhibitor in the event of violation of specific rules and regulations. The exhibit manager reserves the right to add other rules and regulations and publish them at a later date to become part of the original contract.

Objectionable Materials & Activity
The authorized representatives and agents of GWA reserve the right to deny any prospective exhibitor booth space for any reason or to require modification of any questionable exhibit. Flammable substances are subject to Fire Code restrictions.

Limitations on Liability
The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to exhibitor's displays, equipment or other property brought upon the premises of the Hotel and agrees to indemnify, defend and hold harmless the Garden Writers Association, the Hotel and its owners, servants, agents and employees against all claims or expenses for such losses, including reasonable attorney's fees, arising out of the use of the hotel premises excluding any liability caused by negligence of Garden Writers Association or the Hotel or its owners, servants, agents and employees. The exhibitor understands that neither Garden Writers Association nor the Hotel maintains insurance covering the Exhibitor's property or lost revenue and it is the sole responsibility of the exhibitor to obtain such insurance.

The Garden Writers Association, its agents and its employees will not be liable for failure to hold the Exposition as scheduled. Payments for booth space will be returned in that event, except that any expenses incurred in connection with the Exposition will be deducted if the Exposition is cancelled on or after July 3, 2008, because of fire or any act of God, direct or indirect consequence of war or the public enemy, strike, epidemic or any law or regulations of public authority which makes it impossible or impractical to hold the Exposition.

Agreement
By signing the space contract and application found elsewhere in this prospectus, the Exhibitor agrees to abide by these rules and regulations and the judgment of the exhibit manager.

Space Selections
Sponsors, members and prior exhibitors receive seniority in space assignments. Exhibitors may apply for three choices and the manager will assign space based on seniority and date of receipt. Space assignments will be confirmed at the end of the priority period on February 22, 2008. After February 22nd, all space will be assigned on a first-come, first-served basis. The exhibit manager reserves the right to refuse space to any potential exhibitor and/or shift space assignment after the contract has been signed if it is necessary to do so in his/her judgment.

Space is leased with the understanding that no Exhibitor will hold the GWA, Portland Doubletree or their owners, agents or employees responsible for any or all liability which may result from any cause whatsoever.

Space is committed only upon receipt of full payment. Each exhibit fee includes one full meeting registration and one exhibit only registration. Additional booth personnel must register at the lowest member rate.
